Wedding photo booth: everything you need to know

Wedding photo booth Rome — vintage wooden photo booth with guests at the reception

The wedding photo booth has become one of the most requested services at the reception: it creates fun, gives guests a physical keepsake, and produces spontaneous content that no photographer could capture.

But not all photo booths are the same. Some are cheap, improvised, with poor-quality prints and no assistance. And some are professional: they become the gathering point of the evening and leave the couple and their guests a memory that is truly worth keeping.

In this guide we explain everything you need to know before choosing the photo booth for your wedding: how it works, which types exist, what the service should include, how much it costs in Rome, and the most common mistakes.

What a wedding photo booth is (and why it's not "just a photo booth cabin")

The photo cabin, the classic one in train stations or shopping centres, is something else. A wedding photo booth is a professional photographic set-up designed for events: high image quality, instant printing, themed props and accessories, enough space for several people at once.

The value it adds to a reception isn't just fun — although there's always plenty of that. It's the fact that it creates interaction between guests who may not know each other, lowers their guard, and produces spontaneous moments that no direction could create.

Professional photo booth setup at a wedding reception in Rome

How it works during the reception

Setup happens before the guests arrive — usually during the aperitivo or the cocktail hour. We arrive 30-40 minutes early, install the photo booth, test the lighting and prepare the props table.

When the guests arrive, everything is already ready. Our host is there for the whole duration of the service: she welcomes the groups, manages the queue when the party heats up, and makes sure the printer never runs out.

The flow is simple: people come up to the photo booth, pick a prop if they like (hats, glasses, signs), pose alone or in a group, and the host handles the shot and the print. Our software is designed to be used on its own, but we add the host to speed up the flow and improve the guests' experience — it's added value in the client's interest.

Each print comes out in 20-30 seconds, personalised with the couple's names, the date, and a logo or phrase of your choice. The digital gallery is available in real time: every print has a QR code that leads straight to the photo online — so guests can download the digital version right away, without waiting for the end of the night.

Types of wedding photo booth

There is no single "photo booth": there are different formats, each with its own advantages.

Mirror booth (magic mirror)

A mirror with a built-in touch interface, vertical format only — which makes it hard for large groups. It looks imposing, but at a wedding it often comes across as too modern and shiny: it clashes with the traditional elegance of a historic villa or a classic reception. It takes up more space and the rental cost is usually higher.

Totem photo booth

The most versatile solution: a vertical structure with a touch screen, a built-in professional camera and a dye-sublimation printer. Compact, it fits any space and sets up quickly. Ours is mounted on a sturdy tripod that blends well with any setting. It's the format we use.

The ProSelfie photo booth: why vintage wood makes the difference

Our photo booth is built in wood with a vintage finish — not plastic, not anonymous aluminium. It's a detail that matters more than it seems.

It blends visually with any type of venue — the villa with a garden in the Castelli Romani, the rustic estate, the hotel ballroom in central Rome. It doesn't look like industrial equipment placed in a corner: it becomes part of the evening's decor.

The prints are made with dye-sublimation — the same technique used for professional photo prints. They don't fade after a few months: the colours stay stable for years.

What's included in the wedding photo booth rental

This is the item that varies most from one supplier to another. Our standard service includes:

  • Delivery, setup and pickup — included in the service, no extras
  • Dedicated host for the whole duration — we never leave the photo booth unattended. The host is there from start to finish
  • Props and accessories — hats, glasses, signs, moustaches, confetti, custom frames. The props table is themed on request
  • Unlimited prints — every shot produces a print. There's no limit to the number
  • Custom graphics — the print template is created with the couple's names, the date, and a style consistent with the wedding
  • Real-time digital gallery — every print carries a QR code giving instant access to the digital version, to share with guests and relatives

How to choose the right photo booth for your wedding

Three practical questions to ask any supplier:

"Is the host included?" If the answer is "no" or "it's optional", change supplier. A photo booth without a host jams, runs out of paper, and guests don't know how to use it. The host isn't an extra — she's part of the service.

"How many prints are included?" Some offers limit prints to 100 or 150 (for an evening with 80 guests using the photo booth 2-3 times each, that's not enough). Check that they are unlimited, or that the limit is well above your number of guests.

"Can I see examples of real prints?" Not graphic mock-ups — the physical prints that came out of that photo booth at that quality. The difference between a professional photo print and a lower-quality one is visible immediately.

When to book the wedding photo booth

The sooner the better. The peak weekends in Rome — May, June, September, October — get booked up 6-8 months in advance.

Our practical advice: once the wedding date and the venue are confirmed, secure the photo booth within 30 days. The deposit to hold the date is usually 30-50% of the total.

If the date is close (less than 60 days), ask anyway — cancellations happen, and it's always worth checking availability.

Mistakes to avoid

Booking only the photo booth without a host

We've said it already, but it's worth repeating. An unattended photo booth becomes invisible within an hour. Guests come up, don't understand how to use it, and give up. The host keeps the flow going all night.

Choosing the supplier on price alone

A €200 photo booth for one evening does exist. It usually comes with: a slow, low-quality printer, no host, DIY setup on your part, minimal props, and no digital gallery or one that costs extra. The initial saving turns into a frustrating evening.

Not agreeing the position with the venue in advance

This is solved with proactive communication: we always contact the venue before the event to agree on position, power access and setup time. If the supplier doesn't do it on their own, ask them to — and if they don't reply, that's a signal.

Expecting the photo booth to replace the photographer

The photo booth is a complement, not an alternative. It captures spontaneous group moments during the reception. It doesn't replace the professional coverage of the ceremony, the preparations, the first dance. If you're also looking for a photographer for your wedding, Scatti D'Emozione offers the full photography service in Rome — we're the same team that runs ProSelfie.

FAQ — Frequently asked questions about the wedding photo booth

Does the photo booth also work outdoors?

Yes, with a few precautions: you need a power source within 15-20 metres, protection from humidity for the printer, and artificial lighting if the evening goes on after sunset. We always assess it with a site visit or with the information you give us about the venue.

Can we customise the print templates?

Yes. We have a wide choice of customisable print templates based on the theme, colours and style of the wedding. Before the event we send you a draft of the template with the couple's names, the date and coordinated graphics. You can request changes up to 5 days before the event. Customisation is included in the service.

How much space does the photo booth need?

Our photo booth takes up about 60×60 cm. For the shooting area we recommend at least 2×2 metres of free space in front — enough for a group of 4-6 people. Even in venues with limited space we always find a solution: we adapt to the setting.

Does the photo booth work without an internet connection?

The photo booth works offline for shots and prints. The digital gallery is synced at the end of the evening once we're back in an area with a connection. If the venue has stable wifi, the gallery is available in real time via the QR code printed on the photo.

Can we also have a physical guestbook?

Yes, it's a very popular add-on: guests stick a copy of their print in the book and write a message to the couple. At the end of the evening you have a spontaneous album with messages and photos from all your guests. It's one of the most appreciated physical keepsakes of the reception.

Do you have a date in mind?

Write to us with the date and the venue — we'll tell you right away if we're available and send you a detailed quote.

While you decide, you can also take a look at the Live Event package (digital photos shared in real time during the evening) or the ProSelfie blog for more practical guides on photo booths and weddings.
